Why mismatched details now cost you inclusion

This was always tidy-up work with a modest payoff. The arithmetic changed, because a system assembling an answer from several records throws away the ones it cannot reconcile.

What changed

A search engine ranking pages could tolerate your address appearing three ways across the web. It would pick the most likely reading and cost you a little confidence.

A system building a paragraph about your business from multiple records has a harder problem: it has to decide whether these are one business or several. Where it cannot resolve that, the safe behaviour is to leave the ambiguous material out. The penalty is no longer a slightly lower position, it is absence from an answer that had room for three names.

What actually diverges

Suite formats
Ste 4, Suite 4, #4 and Unit 4 are four strings. This is the most common divergence and the least noticed.
Trading names
Summit Heating on one listing, Summit Heating & Air on another, Summit HVAC LLC on the third.
Tracking numbers
A call-tracking number on your site and the real number on your profiles is a deliberate choice with a cost nobody priced in.

How to audit it without a tool

Open a spreadsheet with one row per place your business appears: your site, your Google profile, the main review platforms, the directories, your trade body, your supplier or dealer listings, your social accounts. Columns for name, address, phone and service area. Fill it in by hand. Most contractors find between four and eight divergences and at least one listing they had forgotten existed.

Then pick one canonical version of each field and make everything match it exactly, character for character. It is genuinely dull and it is the highest-certainty item on the whole answer-engine list, because it fixes a real problem with a mechanism you can describe.

The one that catches people

A stale record you do not control can outlive several website rebuilds. If an engine describes your business at an address you left, the fix is not on your site at all. It is on whichever directory is still publishing the old version, and finding it is what the spreadsheet is for.
